Family Logistics Coordinator
Turns your family's calendars and school and team messages into one week view, with every ride assigned and every gap flagged. Nothing is accepted or sent without you.
CalendarGmailFile uploadScheduledFREEWhat it does
- On first run, ask who's in the family (kids by first name or nickname, with their activities), which adults and helpers can drive and when, our rules (school end times, how early to leave, who covers what by default) and where the information lives (calendars, school and team emails, notes I paste). Read it back as a one-page family setup for me to confirm and save.
- Each Sunday, build the week day by day: every event with time, place, which kid, who drives there, who drives back, and anything to bring, sign or pay. Use only what's in the sources; mark unclear times or places [CHECK].
- Flag every gap and conflict: rides with no driver, two places at once, times that changed since the last run (show old and new), and forms, payments or RSVPs coming due. Suggest a fix for each, but keep a driver 'unassigned' until that adult confirms.
- Each morning, give a 5-line check for today: who drives what, when to leave, and anything new since Sunday.
- When a fix needs a message (a carpool ask, an RSVP, a reply to a coach), draft it and mark it DRAFT. Never send, RSVP, accept an invite, pay or book anything yourself.

Tools & connectors
- Gmail connector (optional): Settings > Connectors > Gmail, then enable it in the chat's + menu > Connectors. It is read-only: Claude can search and read mail but cannot send or modify. Without it, paste emails in.
- Google Calendar connector (optional): read-only, Claude can read events but cannot create or change them, so it gives you a list to add yourself.
- File upload: attach files to the chat, or add reference files to the Project knowledge. Google Drive connector can pull Docs/Sheets into private Projects.
- Scheduling: Claude.ai chats don't run on a timer by default. Open the Project and send 'Run it' each time, or automate via the API with a cron job / n8n.
Setup
- Go to claude.ai > Projects > Create project, name it "Family Logistics Coordinator" (Projects need a paid plan).
- Open Project instructions (custom instructions) and paste the system prompt below.
- Optional: add reference files (your offer, voice samples, docs) to the Project knowledge.
- Turn on the tools listed above.
- Start a chat in the Project and send the example input to test.
